It is a Friday night in March and your function hall sits empty. Not because nobody wanted it, but because the company that tried to finish a booking with you never got your last email. It went to spam — and you thought everything was signed and sealed!

When you checked in with them on Friday morning, they had already booked somewhere else, because no confirmation ever arrived from you and another venue was quicker to answer. Sitting in that same inbox are four messages along the lines of "can you take a party sometime in late March?" — no exact date, no headcount, no word on whether they want catering. And two weeks ago someone called and cancelled with a week's notice, after you had already turned away another group for the same evening.

The problem is not a lack of demand. The problem is chaos. Every booking starts the same way — "Hi, is your hall free on 23 March?" — and then the manual labour begins: endless back and forth over email and phone. The same questions again and again, vague dates, unknown headcounts and party types, a price you punch into a calculator every single time, and no guarantee the night is actually held until people walk through the door.

Add it all up and the communication around one single date can easily swallow a few hours.

Where no venue booking is shelf-ware

A venue is not a product on a shelf with a fixed price tag or fixed terms. Every single booking is an agreement, because no two parties are alike. A wedding for 120 with catering and a setup day before it is not the same booking as a 70th birthday on a Sunday. The price is different, the terms are different, the prep on your side is different — and what comes with the rental is different too!

  • The price or the hourly rate: the total for this particular night, not a default tariff.
  • The date and time: maybe Saturday suits better than Friday, or you can offer the space earlier so the renter can decorate.
  • Add-on services and catering: add, remove, tune what comes with it.
  • Cancellation terms and the confirmation fee: you decide on what terms the night is held.
  • A free-text message: after that it is simply a chat, back and forth, until you both agree.

The renter accepts, and only then can they secure the rental by paying a confirmation fee. This is what the event venue booking system is built on.

The venue picks one, no double-booking
